Role based in Luxembourg
Our client, a solid and international company operating in the health and medical technology sector, is currently reinforcing its administrative support team and is looking for a proactive and organised Office Assistant to join its Luxembourg office.
What you’ll do:
Reporting to the Office & Administration Manager, you will play a central role in the smooth running of the office and in supporting the teams.
Your key responsibilities will include:
Manage daily office operations and maintain a pleasant and efficient working environment.
Prepare, format, and ensure the quality of key documents: reports, correspondence, presentations, and official documents (including legalization).
Develop and maintain digital and physical archiving systems.
Assist the Finance Management in proofreading, formatting, and finalizing confidential documents.
Organize business travel, internal/external meetings, and visits (logistics, rooms, access, agendas, minutes, etc.).
Monitor deadlines, deliverables, and key milestones of internal projects.
Manage office supplies and liaise with service providers, vendors, and facility support.
Support front-office tasks (phone calls, visitors, incoming & outgoing mail).
Contribute to smooth internal communication and a positive working atmosphere.
About you:
Secondary education with a certification, with ideally 2 years of experience in a similar role.
Excellent command of office tools, especially Word and PowerPoint; Google Workspace is an asset.
Strong organization, autonomy, proactivity, service mindset, confidentiality, and ability to prioritize.
Comfortable working in a dynamic, fast-paced, multi-tasking environment.
Strong interpersonal and written communication skills.
Fluent in English and French. Knowledge of other European languages is a plus.
